Reasonable Adjustment Management Software

TryMosaic is reasonable adjustment management software for UK employers, giving employees, managers and HR one structured system for managing the entire adjustment lifecycle.

Reasonable adjustment management software helps employers manage workplace adjustments from the initial request through discussion, decision, implementation and review. It replaces disconnected emails, spreadsheets and documents with a structured process.

What is reasonable adjustment management software?

Reasonable adjustment management software is a dedicated tool for handling the full lifecycle of workplace adjustments: from an employee identifying a barrier, through the employer's response, to implementation, review and audit.

A structured process

Each request follows a defined path: submit, discuss, decide, implement and review.

Role-appropriate access

Employees see their own requests and adjustments. Managers see what they need to respond to. Authorised HR staff can access relevant adjustment information and aggregated, anonymised organisational trends based on their role and organisation configuration.

An auditable record

Requests, decisions, rationale, agreed actions and reviews are timestamped and stored in one place.

How does reasonable adjustment software work?

  1. Request: the employee identifies a barrier and records proposed support.
  2. Discuss: the manager reviews the request, asks questions and explores options.
  3. Decide: an outcome and its rationale are recorded.
  4. Implement: agreed actions, responsibilities and next steps are tracked.
  5. Review: adjustments are revisited as needs or circumstances change.
  6. Audit: HR maintains appropriate oversight and organisational reporting.

Who uses reasonable adjustment software?

Employees

Employees describe workplace barriers, propose adjustments and see what happens after a request is submitted.

Line managers

Managers review requests, discuss options and record decisions and rationale.

HR, People and inclusion teams

Authorised teams maintain appropriate oversight, records and aggregated reporting across the organisation.

Occupational health and workplace needs professionals

Recommendations can move into a tracked implementation process instead of remaining in a disconnected report.

Why manage reasonable adjustments digitally?

Email has no tracked workflow. Spreadsheets rely on manual maintenance. Static passports record a point in time but do not manage discussion, decisions, implementation or review. When information is spread across these places, ownership and organisational knowledge are easily lost.

Dedicated software creates a consistent process and a usable record. It does not automatically make an organisation legally compliant, and it does not decide whether an individual adjustment is reasonable.

Reasonable adjustment software vs spreadsheets

Spreadsheets can be a practical starting point for a small number of cases. They become harder to manage when volumes, owners and review dates grow. Dedicated software adds routing, status, decision records, implementation tracking and review prompts.

Reasonable adjustment software vs an HRIS

Most HRIS platforms manage core employee records such as contracts, payroll and leave. TryMosaic complements those systems with a dedicated adjustment workflow. CSV exports and admin dashboards are available today; direct HRIS integrations are on the roadmap.

Reasonable adjustment software vs a workplace adjustment passport

A workplace adjustment passport records agreed adjustments and working preferences. TryMosaic includes passport-style functionality and also manages the process that produces and maintains that record. Read the workplace adjustment passport guide.

How TryMosaic manages reasonable adjustments

  • Employees record barriers and propose adjustments through guided templates.
  • Managers review requests, discuss options and record outcomes and rationale.
  • Agreed actions, responsibilities and review points are tracked.
  • Authorised HR staff maintain appropriate oversight and access aggregated, anonymised reporting.
  • The workflow creates a timestamped audit trail.

Reasonable adjustments and the Equality Act 2010

The Equality Act 2010 requires employers to make reasonable adjustments in relevant circumstances. In employment, the duty can apply where a workplace provision, physical feature or lack of an auxiliary aid puts a disabled person at a substantial disadvantage.

Employers do not need to wait for a particular form to start a conversation. They should engage promptly once they know, or could reasonably be expected to know, that a disabled person may be at a substantial disadvantage.

TryMosaic provides a structured process and a clear record. It cannot guarantee compliance or determine whether a particular decision is lawful: that depends on the specific facts of each situation, and is ultimately assessed by employment tribunals if challenged. Organisations with specific legal questions should take independent legal advice. This page contains general information, not legal advice.

Frequently asked questions

What is TryMosaic?

TryMosaic is reasonable adjustment management software for UK employers. It gives employees a clear way to request workplace adjustments, managers a structured way to respond, and HR one place to track, review and audit the entire process.

It replaces scattered emails, spreadsheets and informal conversations with one clear workflow trusted by employees, managers and HR.

Does TryMosaic replace an HRIS?

No. TryMosaic complements HR systems rather than replacing them. Most HRIS platforms manage contracts, payroll and core employee data; they are not designed for the structured workflow of requesting, discussing, deciding, implementing and reviewing adjustments.

TryMosaic handles the adjustment workflow in depth. CSV exports and admin dashboards are available today, and direct HRIS integrations are on the product roadmap.

How is TryMosaic different from a spreadsheet?

A spreadsheet has no workflow. It cannot route a request to a named owner, record a decision with its rationale, trigger a review when an adjustment is due for reassessment, or produce a timestamped audit trail.

TryMosaic handles all of these. Both record information; only one structures the process of getting there.

Does TryMosaic guarantee Equality Act compliance?

No. No software can guarantee that an employer's individual decisions comply with the Equality Act 2010. Whether a particular adjustment is reasonable in a particular situation depends on the nature of the disadvantage, the practicality of the adjustment, the employer's resources and other facts that only a person can assess, and that would ultimately be judged by a tribunal if challenged.

What TryMosaic provides is a structured process for working through those questions consistently, and a clear record of what was considered and decided. That record is what matters if a decision is ever challenged.

Is employee adjustment information private?

TryMosaic is designed with role-based access controls so that authorised HR staff and managers can access relevant adjustment information based on their role and their organisation's configuration. Organisation-level reporting uses aggregated, anonymised data.

Personal data is stored at rest in the UK (Google Cloud, London region). The platform includes two-factor authentication, OTP-secured passport sharing, and encryption in transit and at rest. For full details, see the TryMosaic privacy notice.
