What is Mosaic?
Mosaic is a compliance-ready platform for managing workplace adjustments. It helps employees document their needs, managers agree and track adjustments, and HR maintain a clear, auditable record.
Who is Mosaic for?
Mosaic supports:
- Employees who need a clear way to communicate workplace adjustments.
- Managers who want to implement support with confidence.
- HR/DEI teams who need scalable, compliant processes and insights.
Does Mosaic replace Occupational Health?
No. Mosaic complements OH and clinical processes. It provides a structured workflow for adjustments management, but is not a medical or diagnostic tool.
What kinds of adjustments does Mosaic support?
Mosaic includes a growing library of common adjustments (e.g., flexible hours, quiet spaces, ergonomic equipment, communication preferences). It’s continuously expanding, though no tool can capture every possible need.
Do you offer analytics for HR?
Yes. HR can view anonymised, aggregated trends to understand what’s working and where gaps exist. Individual Passports are only visible to recipients the employee shares with.
Do you integrate with HR systems?
Today, Mosaic provides CSV exports and admin dashboards. Direct integrations with HRIS platforms (e.g., Workday, SAP, SuccessFactors) are on our roadmap.
Is Mosaic legally compliant?
Mosaic supports organisations in meeting Equality Act and GDPR obligations by providing a structured, auditable record of adjustments. While Mosaic reduces legal risk and makes processes more defensible, no software can guarantee tribunal outcomes.
Who owns the data in Mosaic?
Your organisation owns its data. Employees own their personal Passports and choose who can view them. Mosaic never sells data.
Where is our data stored?
PII Data is hosted in the UK/EU with secure cloud infrastructure. Backups remain in-region. If you require UK/EU-only residency, contact support@trymosaic.co.
How long do you retain data? Can we delete it?
Users can delete records in-app. Our retention policy is GDPR-aligned; hard deletion can be requested via support. We honour DSAR and right-to-erasure requests.
How secure is Mosaic?
Mosaic uses field-level AES-256 encryption for sensitive data, OTP-secured sharing, role-based access, session management, and regular security scans. No system is 100% unhackable, but we follow industry best practices.
Are you ISO 27001 or Cyber Essentials certified?
We’re GDPR-compliant and aligned to ISO 27001 best practice. Formal ISO 27001 and Cyber Essentials certification is in progress.
Do you support SSO or SCIM?
Not yet. SSO and SCIM are on our roadmap. Today, users sign in with email/password and one-time passwords (OTP) for secure access.
How quickly can we launch?
Most organisations launch a pilot within days. Admins can configure their profile, invite members, and begin recording adjustments in under an hour.
Can employees update or withdraw their Passport?
Yes. Employees own their Passport and can update, share, or withdraw access at any time.
How much does Mosaic cost?

Is Mosaic free for individuals?
No—Mosaic is designed as a B2B platform for organisations. If you’re an individual looking for a Workplace Passport, email support@trymosaic.co and we’ll point you towards available options.
